Last updated: September 11, 2026

About This Policy

Wye Community League operates Wye Hall near Sherwood Park, Alberta. This policy explains how we collect, use and share personal information through our website and related enquiries. We handle personal information in accordance with applicable privacy law, including Alberta’s Personal Information Protection Act where it applies.

Questions about this policy or our information-handling practices can be directed to the Hall Manager using the contact details below.

Information We Collect

When you contact us, we collect the information you provide, which may include:

  • Your name, email address and telephone number.
  • Your enquiry type, preferred rental dates and event details.
  • Your message and any follow-up correspondence.

Required fields are identified on the enquiry form. Please provide only information relevant to your enquiry. Do not include payment card details, government identification numbers or sensitive information about event guests.

Our website and hosting services may also record technical information such as your IP address, requested pages, browser information, request times and error details to operate and protect the site. The enquiry form uses an identifier derived from your IP address and submission times to limit repeated submissions and help prevent spam. This identifier is not treated as anonymous information.

How We Use Your Information

We use enquiry information to:

  • Respond to your questions and communicate with you.
  • Discuss availability, rental arrangements and event requirements.
  • Respond to membership, volunteering and community-event enquiries.
  • Maintain relevant correspondence and booking records.
  • Protect the website, investigate problems and prevent misuse.

Providing information for an enquiry allows us to use it for that purpose. It does not sign you up for a newsletter or unrelated promotional messages. We will seek any additional consent required before using your information for a new purpose.

Who May Receive Your Information

Enquiries may be reviewed by the hall manager, relevant league representatives and service providers who help us operate the website or resolve technical problems. Access is limited to what is needed for their responsibilities.

We use website hosting and technical support services, Amazon Web Services for enquiry-email delivery, and Google email services to receive and manage correspondence. These services process the information needed to provide those functions, including enquiry contents and email addresses.

If an enquiry proceeds to a rental, booking or permit information may be shared with Strathcona County for camping permits and with the RCMP for rental notifications, as described in our rental information. Contact the hall manager about the details before completing your booking. We may also disclose information with your consent or where permitted or required by law.

Service providers may process or store information outside Canada, including in the United States, where it may be accessible to authorities under local laws. To request information about our policies and practices concerning these providers, contact the Hall Manager using the details below.

Cookies & Google Services

Enquiry form

The contact form uses a session cookie to help protect submissions and temporarily preserve your entries if there is an error. Blocking this cookie may prevent the form from working. You can also contact us by telephone or email.

Website analytics

This website uses Google Analytics to understand which pages people visit and how the site is used. Google Analytics may use cookies and similar identifiers and receive information about your browser, device and interactions with the site. Your browser also sends technical information, including your IP address, when connecting to Google’s services.

You can manage cookies through your browser settings. Google also offers an Analytics opt-out browser add-on for supported desktop browsers. These options have limits: blocking cookies does not prevent every connection to an external service.

Calendar and fonts

The availability page embeds Google Calendar, and our website loads fonts from Google Fonts. Loading these services connects your browser to Google and sends technical information needed to deliver the content. The calendar may also use cookies or interact with your Google account, depending on your settings.

See Google’s Privacy Policy and how Google uses information from websites that use its services for more information.

Retention & Security

We retain personal information for as long as reasonably needed to respond to enquiries, administer related bookings or activities, and meet applicable legal or recordkeeping requirements. Different records may need different retention periods. Information that is no longer needed is securely deleted or de-identified, subject to applicable retention requirements.

We use reasonable administrative and technical safeguards appropriate to the information, including secure website connections and controls on access. No internet transmission or storage system can be guaranteed completely secure.

Access, Corrections & Privacy Questions

You may contact us to request access to your personal information, ask for a correction, raise a concern or withdraw consent, subject to applicable legal and contractual restrictions. We may need to verify your identity before providing information or making changes.

Withdrawing consent may affect our ability to respond to an enquiry or provide a requested service. We will explain any relevant consequences and any information we must retain. Requests will be handled within the time periods required by applicable law.

You may also contact the Office of the Information and Privacy Commissioner of Alberta about privacy rights or concerns within its jurisdiction.

Website & Booking Information

This website provides general information about Wye Community League and Wye Hall. Please contact us to confirm availability, fees and the requirements that apply to your event. The calendar may not show every booking or pending request.

Sending an enquiry does not reserve a date or create a rental agreement. A booking is subject to the hall’s confirmation, rental agreement and required payments. The rental agreement governs the terms of your booking; this page does not replace that agreement.

Links to Facebook, Google Maps, the virtual tour and other external websites lead to services operated by others. Their own privacy policies and terms apply when you use them.

We may update this page as our website or practices change. The date above identifies the latest revision. We will provide further notice and obtain consent where required for a change in how we handle personal information.
